Title: Catering Coordinator

Reports to: Catering Manager

SUMMARY OF POSITION

Take all non-staffed catering inquiries, and work with clients to ensure their catering orders are executed to acceptable standards, including overseeing the delivery time. Coordinate all client billing, to be approved by catering manager. Perform administrative office duties as required. Ensure upcoming BEOs are accurate; take part in food and beverage meetings with culinary team members. Generate profitable and logistically sound bookings that create strong business relationships that ultimately result in repeat business.

RESPONSIBILITIES:
 
*Book, detail and oversee all non-staffed catering orders. (i.e. - lunch deliveries)
*Work closely with clients to create proposals and detail catering orders.
*Review upcoming BEOs to ensure accuracy.
*Coordinate client billing, and billing to the Four Points by Sheraton hotel conference centre.
*Oversee delivery times and quality of catering orders, to ensure accuracy.
*Sit in on weekly food and beverage meeting with culinary team members, and hotel catering professionals at Four Points by Sheraton hotel.
*Use Caterease in a professional and efficient matter to generate quotes, contracts and keep a reliable data base of accounts and clients.
*Prompt response (within one business day) to all forms of inquiries.
*Prepare accurate and creative menu proposals.
*Negotiate prices, prepare accurate quotes and then confirm by written contracts.
*Assist with the compilation of competitive intelligence information as required.
*Participate in trade shows, conventions and promotional events within the company and trade related organizations, as required.
*Actively participate in appropriate any required Sales/Catering training.
*Ensure all Scanway Catering standards are adhered for all catering orders.
*Maintain high quality of service standards required by Scanway. 
*Execute client follow up regarding catering orders/deliveries.
*Administrative duties as required.
*All other reasonable requests that are made by catering manager or Scanway owners.
*Ensure Health & Safety standards are complied with at all times. 
*Foster a team environment at all times with coworkers, culinary staff and service staff.

REQUIREMENTS:

*Post Secondary education, or graduate of recognized Hospitality Management Program or equivalent and/or minimum one year as a Catering or Hotel Sales/Catering Coordinator and/or equivalent industry experience.
*Microsoft Office Software computer literacy required. 
*Caterease computer software experience an asset.
*High energy with exceptional organization and communication skills.
*Excellent interpersonal skills, both written and verbal.
*Must posses a high degree of professionalism.
*Knowledge of local market and requirements a strong asset.
*Must be able to work independently and maintain a positive attitude within a very busy environment.
*Strong knowledge of food and beverage, passion for local food and wine a huge asset.
*Flexibility, long hours and weekends may be required.
*Additional hospitality training (SuperHost, ServSafe, etc) considered an asset.
